AABB is looking for an experienced professional who is responsible for coordinating critical components for educational programs held during AABB in-person meetings.

About the Role
Oversee key education program components to ensure that the Association’s educational offerings are of the highest standards and quality. Specifically:
Educational Content and Faculty Management
Primary contact for all faculty in regards to program and meeting deadlines.
Configure speaker management software to ensure appropriate data collection, tracking and reporting for educational submissions and faculty.
Maintain and update, as necessary, faculty and program content within the speaker management system.
Prepare communications for faculty and develop faculty resource center for content quality.
Ensure required data (e.g., disclosures) are collected according to deadlines.
Manage education proposal selection process to include configuring and testing review site within the speaker management tool and coordination with selection committee. Coordinate and facilitate committee selection calls/meetings; capture outcomes of meetings (notes and updates to speaker management system).
Coordinate final program schedule based on accepted proposals, with the input of the committee.
Coordinate the processing of travel allowances.
Prepare reports for distribution to staff and committee members (e.g., pace reports, grading reports, speaker evaluations, etc.)
Continuing Education / Continuing Medical Education (CE/CME) Compliance
Ensure proper documentation for CME activity development and compliance including maintaining and organizing electronic files (including attendance files, disclosures, presentations, consents, commercial support agreements, etc.) in compliance with CME/CE requirements and SOPs.
Assist with the processing of CME credits and the administration of the CME program to ensure that ACCME requirements are met.
Assist with review of presentations and other documentation required for CME compliance.
Ensure that post-meeting CME/CEU records are maintained in the appropriate databases or files.
Update/Maintain appropriate reporting to and documentation for CE agencies (such as CEBroker for Florida Lab Personnel and state boards such as Florida Nurses, California Labs, etc.).
Update/design session evaluations based on existing processes and technology. Provide evaluation summaries to faculty in a timely manner.
Oversee the abstract review process by identifying reviewers, assigning reviews based on topic-specific criteria, and working closely with committee chair to ensure final decisions are recorded and disseminated to abstract submitters. Recommend process improvements to increase efficiencies.
Manage the administrative process for Conflict of Interest (COI) disclosures for abstract submissions, including maintaining disclosure information in the system, preparing communications, tracking responses, and addressing questions.
Coordinate abstract program requirements and needs with the abstract management vendor. Ensure accuracy in the launch and management of the call for abstracts and submissions/data. Coordinate updates with the vendor, as needed.
Onsite Preparations and Activities
Coordinate with internal groups (e.g., marketing) and vendors to create and proof online and print programs and ancillary materials.
Prepare moderator scripts, and ensure they contain necessary information.
Oversee ARS (Audience Response System) process for live educational activities.
Serve as Staff liaison to Selection of Abstracts Committee and Continuing Education Advisory Committee
Prepare for and attend education related committee meetings.
Manage committee correspondence and meeting notes.
Assist Senior Senior Director in creating department budget and keeping department in-line with projected expenses and revenue.
Collaborate with meetings staff on logistical components for educational programs.
Work closely with department to ensure all processes, policies and procedures are documented and updated as needed.
Provide support for other educational activities as needed.
Address external inquiries regarding all assigned activities in a timely manner.
Respond to CME/CEU inquiries from attendees.
