AABB is looking for an Administrative Assistant to the Chief Financial Officer & Vice President of Finance, and to General Counsel. This role will be responsible for ensuring that the administrative workflow of the CFO and General Counsel is completed in an organized and timely manner. This role will also be a member of the Association’s Administrative Support Team.
ABOUT THE ROLE
Manage daily staff activities.
Work with Director on department activities. Review timelines with Director to ensure goals and timelines are satisfactory.
Monitor staff performance and provide verbal and written feedback regularly.
Conduct annual reviews that include updating performance standards, job descriptions and short and long-term goals.
Update procedure manual as needed and distribute updates to staff.
Serve as backup to Director, Member Services and is cross trained in all departmental functions.
Provide support and assistance to the Director to achieve goals under the strategic plan of the association.
Provide reports to support KPIs as they relate to initiatives.
Attends the offsite annual meeting and manages the satellite bookstore.
Work with the Accounting Department and IT to ensure membership system functions to meet the department needs.
Through coordinated efforts with marketing manage recruitment and retention membership programs. Efforts for improved member engagement and retention are a high priority.
Prepare database for the membership renewal cycle. Run exception reports, analyze and correct data as needed.
Work with the Accreditation department to enter and maintain correct institutional member information, to ensure billing is accurate for accreditation and membership fees.
Oversee the distribution of membership benefits and optimize procedures for their timely distribution.
Works with the IT and Web Services to resolve specific database (Personify) issues and the fulfillment process. Role will work to review workflows and processes to reduce expenses or gain revenue to strive improve overall customer experience.
Education and Certifications: Bachelor’s degree required
Experience: Minimum of 6-8 years of experience in membership, sales and management. Must have experience in managing a revenue producing program and delivering revenue critical products and services to customers. Experience with accounting systems. A good understanding of invoicing, refunds and credits.
