AABB is looking for a Education Program Manager to coordinate critical components for educational programs held huring AABB in-person meetings.
Oversee key education program components to ensure that the Association’s educational offerings are of the highest standards and quality. Specifically:
Educational Content and Faculty Management
Primary contact for all faculty in regards to program and meeting deadlines.
Configure speaker management software to ensure appropriate data collection, tracking and reporting for educational submissions and faculty.
Maintain and update, as necessary, faculty and program content within the speaker management system.
Prepare communications for faculty. Ensure required data (e.g., disclosures) are collected according to deadlines.
Manage education proposal selection process to include configuring and testing review site within the speaker management tool and coordination with selection committee. Coordinate and facilitate committee selection calls/meetings; capture outcomes of meetings (notes and updates to speaker management system).
Coordinate final program schedule based on accepted proposals, with the input of the committee.
Coordinate the processing of travel allowances.
Prepare reports for distribution to staff and committee members (e.g., pace reports, grading reports, speaker evaluations, etc.)
Continuing Medical Education (CME)
Ensure proper documentation for CME activity development and compliance including maintaining and organizing electronic files (including attendance files, disclosures, presentations, consents, commercial support agreements, etc.) in compliance with CME/CE requirements and SOPs.
Assist with the processing of CME credits and the administration of the CME program to ensure that ACCME requirements are met.
Assist with review of presentations and other documentation required for CME compliance.
Ensure that post-meeting CME/CEU records are maintained in the appropriate databases or files. Respond to CME/CEU inquiries from attendees.
Update/Maintain appropriate reporting to and documentation for CE agencies (such as CEBroker for Florida Lab Personnel, Florida Nurses, California Labs, etc.).
Update/design session evaluations based on existing processes and technology. Provide evaluation summaries to faculty in a timely manner.
Coordinate with internal groups (e.g., marketing) and vendors to create and proof online and print programs and ancillary materials (e.g., handouts).
Onsite Preparations and Activities
Prepare moderator scripts, and ensure they contain necessary information.
Oversee ARS (Audience Response System) process for live educational activities.
Assist director in creating department budget and keeping department in-line with projected expenses and revenue.
Collaborate with meetings staff on logistical components for educational programs.
Work closely with department to ensure all processes, policies and procedures are documented and updated as needed.
Prepare for and attend the education related committee meetings.
Provide support for other educational activities as needed.
Address external inquiries regarding all assigned activities in a timely manner.
Assist the staff liaison to Selection of Abstracts committee as requested.
Education – Bachelor’s degree or commensurate experience required.
Working knowledge of ACCME Criteria and Guidelines.
Minimum of three years coordinating medical education programs, preferably for an association.
Experience working with speakers and volunteers.
Excellent grammar, writing, communication skills and professional demeanor.
Attention to detail, organization, critical thinking and ability to work well in a team environment with clinicians, executives, contractors, consultants, and other staff.
Ability to manage large projects with limited supervision.
Critical thinker who can identify sound solutions for the strategic vision of the education programs and association
Ability to keep projects on deadline and move task forward to completion.
Ability to work well with members, faculty, staff and vendors.

Working knowledge of Confex or other speaker management system (such as ScholarOne, Cadmium, Oasis, etc.)
Working knowledge of Microsoft Office programs, including Excel, Word, PowerPoint, Outlook and other programs and databases as needed.
Dayshift hours primarily
Must be willing to travel. Travel and other work related assignments on weekends are possible.
