AABB is an international, not-for-profit association that represents individuals and institutions involved in the field of transfusion medicine, patient blood management, and cellular therapies. The association is committed to improving health by developing and delivering standards, accreditation and educational programs that focus on optimizing patient and donor care and safety.
The Administrative Assistant is responsible for ensuring that the administrative workflow of three divisions within the association is completed in an organized and timely manner. This is the ideal position for an individual with solid experience working in a matrix role supporting three executives.
Provide general support to Vice Presidents (direct supervisors) by way of drafting routine correspondence and memos, screen mail and telephone calls, and maintain calendar
Provide similar support to Directors within the division in the way of coordinating and implementing specific departmental activities and projects as needed.
Prioritize and track the workflow of Divisions.
Process and track payment of vendor bills for Divisions. Forward to Accounting department for payment.
Assist Divisions with periodic and/or special projects as needed, such as fulfill all membership mailing list rental requests.
Set-up all conference calls as requested; Set up and assist at Go-To meetings; send follow-up reminders and disseminate agendas and materials in advance.
Set-up all committee meetings and prepare meeting materials as requested by Divisions.
Support the Divisions staff liaisons and act as staff liaison for committee(s) as requested.
Provide back-up support to the Facilities Specialist.
Minimum of two years college or business school training required; Bachelor’s degree preferred.
Minimum of 3 years executive level secretarial/administrative experience required. Association experience desirable.
Experience coordinating with multiple stakeholders - internal and external to the organization.
Demonstrated ability to schedule, coordinate, and implement activities with numerous details and multiple deadlines.
Ability to work perform well under pressure.
Experience working with minimal supervision, while maintaining a superior level of attention to detail.
Ability to maintain confidentiality.
Experience working within a matrix structure.
Proficiency with MS Office Suite to include strong Excel and PowerPoint and other presentation skills.
